In an interesting twist, in 2024, Artavolo proved to be able to do for TSD Group what the company had been doing for its clients and partners for nearly two decades. As part of our collaboration with TSD Group, we provided them with an innovative software solution to enhance the daily workflow of their marketing team.
A year ago, we found the marketing department working tirelessly on numerous exciting projects, yet almost lost in the maze of outdated spreadsheets, office chats and conversations, and a lack of seamless coordination among their specialists. Although deadlines were met and all marketing projects were successfully executed, every team member nodded in agreement when we discussed the possibility of implementing better organization in their daily workflow. The marketing content calendar needed additional functionalities for optimization, and the social media calendar was bound to benefit significantly from the addition of collaboration tools for all team members.

It is easy to assume that such responsible and multi-layered projects involve numerous daily tasks. For TSD Group’s marketing team, the daily schedule is literally overflowing with content ideas for their website and social media, task assignments for content creation to the respective specialists, meetings and discussions, work on marketing strategies and planning, performance analysis, and much more.
Although the department is led by professionals with extensive experience in the field, the team still faced some fundamental challenges, including outdated and inefficient project management methods. These challenges, in turn, increased the risk of missed deadlines, hindered teamwork, and created opportunities for errors.

Challenge
After discussing the daily tasks of the marketing department and where they encounter problems and difficulties, we were able to outline the following key challenges:
•Lack of an effective and automated content management structure – The team worked on planning and creating content for the digital platforms and social media of TSD Group manually, daily inputting data and information into chaotic and cumbersome spreadsheets that did not provide good visualization and often led to confusion and delays.
•Difficulty in communication and collaboration – The team relied on endless e-mail chains and communication took place across different platforms. It was hard to organize and track the work of specialists working remotely, and it was confusing to understand when and which marketing specialists were assigned tasks. There was no centralized platform for communication and brainstorming ideas.
•Delays in the approval process – Every text, image, and idea had to go through several stages of review and approval, which significantly slowed down the work.
• Limited visibility of results – The team suffered from the lack of an automated process for tracking and analyzing the results of each marketing campaign.
Solution
Artavolo emerged as an effective digital tool for addressing all of these challenges. The marketing team quickly believed in Artavolo's potential to centralize all processes related to content planning and creation, automate the approval steps, thereby shortening and simplifying them, improve collaboration by bringing all communication into one place, and offer effective tools for tracking campaign results in real time. How did we integrate Artavolo into the work of TSD Group? Through the development of two separate databases – one with a content calendar for the website and one with a content calendar for social media – providing the team with all the possibilities to adapt Artavolo’s databases and functionalities according to their own needs.
Marketing Content Calendar Database – The team chose a Grid view when creating the marketing content calendar database. In the table, they included columns for Post Name, Deadline, Post Outline, Post Draft, Visual Ideas, Size, Type, Status, Assigned To, Visual Assets, Channels, Publication Date, and Publication Link. The columns with text fields became a centralized method for sharing and reviewing content, which made processing, approval, and distribution more efficient. Many of the articles published by the team contain links to external sources, and the team was pleased to find that when copying and pasting texts into the Artavolo table, these links remain active, saving a significant amount of work and time. The Status and Assigned To fields made it much easier to track the work. The table easily brought together the work of marketing experts, copywriters, and graphic designers in one place, making it visible, easy to review, and manage.
Social Media Calendar Database – Having already adapted to the table view, the team chose Grid for their monthly social media content calendar. Similar to the other database, this one also benefits from Artavolo's features for sharing and managing content, tracking progress, assigning tasks, monitoring achieved results, generating and discussing ideas, and providing a better structure for clarifying details such as deadlines, distribution channels, and planning and creating visual and video content. When changes and corrections occur in both databases, all members of the marketing team automatically receive notifications in their emails. Sharing new databases is made easy by generating a link and granting access to the tables and visibility of content only for team members. Communication is carried out by creating Notes and Discussions within the platform. And the Calendar view helps ensure stricter monitoring of deadlines.
