What are the main priorities in project management?
Many would agree that it's about ensuring the project is completed on time, within the allocated budget, and meets the initially set objective. It sounds pretty simple, but challenges lurk everywhere. Without the ability to track the many moving and changing elements of each project in a timely manner, it is doomed to failure. If this has happened to you in the past, don’t worry, you're not alone. According to a study by Team Stage, over 70% of projects fail and do not achieve the desired results. According to Plaky, projects that used formal management and tracking methodologies reach their set goals 73% more often. However, 42% of companies still can't clearly understand the meaning and importance of project management (Team Stage). There is an entirely easy, accessible, effective, and completely free way to track and manage your projects in real time, and that is Artavolo. Tracking your project’s progress does not have to be a complicated task.
Thanks to a combination of the right strategies and the right tool for task and project management, you can easily meet deadlines, budgets, and goals. At the same time, every stakeholder and team member will be informed in a timely manner about all changes and the entire progress. Here is how to do this with Artavolo: First of all, to ensure that every team member/manager/client who is somehow actively involved in the execution or approval of the project has access to the necessary information, you need to delegate access. Setting permission levels for each collaborator happens after you create your work base. To invite someone as a collaborator, click the share button at the top of the work base or click on the "Share Work Base" item. A sharing dialog will open, from which you can send invitations via e-mail or create a link to copy and forward and manage permission levels. Artavolo offers three permission levels – owner, collaborator, read-only. For the first two permission levels, you can enable automatic notifications for changes made or new items added to the project databases. This way, in real time, collaborators collaborate, and you have access to the progress of their work and the status of each project and task in a timely manner.
- Prioritizing tasks is another important and effective approach to ensure the team is working on the most important duties at a given moment. You can easily mark each task as high, medium, or low priority by using the corresponding labels for cards in the Kanban view or by creating a separate Select-type column and setting up priority labels. To add a Select column, click the “+” icon on the right. Then choose “Select” and start adding items. Optionally, you can add a color to each option. Once items are added, you can remove them by clicking the “X” button or reorder them by clicking and dragging from the handle on the left side of each item.
- Another functionality of Artavolo that allows for prioritizing tasks and projects and focusing on the urgent ones is the option to filter cards or columns in the table view. Thanks to this feature, every team member or you can focus on specific information or tasks or files without wasting hours searching for the necessary data. According to a study by Saaslist, project managers lose an average of a whole workday manually searching for information to create reports. According to Office Timeline, you can save an average of 4 hours per week working on reports if you use an effective digital tool like Artavolo. In this guide, you will learn more about the filtering feature and how it can be useful for project work and real-time tracking.
- Creating collaborator columns in the Grid view or the respective field in a Kanban card allows you to select one or more collaborators from a pre-generated list of names. This way, you can easily delegate specific tasks or project aspects to specific specialists who will be informed in a timely manner via a chosen method so they can start working on priority tasks immediately. This is one of the most useful features of Artavolo for real-time collaboration between teams and team members.
- To track progress most effectively, you need to set deadlines and corresponding budgets. This way, you can ensure that every team member actively working on project tasks is on the same page. To track deadlines, you need to create a date and time column. When editing the date, you can manually enter it or use the pop-up calendar component to easily select a date. To add a date,
- click on the “+” column and select the date type. You will see additional options to customize your date. After clicking the “OK” button, the new column appears in the table view. Then click on a cell in the Date column to see the Calendar component pop up. For a column containing the budget, you need to create a number column. This article will teach you more about how to create such a column and use it effectively.
- According to Saaslist, poor communication is a major reason for project failure, at least according to 31% of surveyed companies worldwide. 80% of employees spend half the workweek correcting errors caused by poor communication. Of course, good communication is the foundation not only of increased productivity and project success but also of effective collaboration. Artavolo offers not just effective features for improved communication but ones that allow seamless real-time communication. One way to improve communication and collaboration with your colleagues or employees is by creating Notes. The function allows you to take quick notes or make task lists. These notes will be visible to all collaborators who have access to the database. You can use the notes to share information with your colleagues or teammates and track the progress of each project. Another useful function for improved communication is Discussions, which you can learn more about in this article. One of the newest features of Artavolo is User Mentions. Thanks to this feature, you can mention specific collaborators using “@” across the entire Artavolo interface – discussions, notes, documents, rows, and more. Each collaborator mentioned in this way automatically receives a notification. More about User Mentions can be found in this article.
- Webhooks is a feature in Artavolo designed specifically to notify all collaborators in real time when new rows are created, edited, or deleted.
- Automations are designed to automatically send information to all collaborators under certain conditions.
- You can set up automations to send:
- A custom selection of information
