Why You Need a Project Management Tool?

After a completely free setup and integration process (and without requiring any coding skills), you can use it for strategic planning, performance analysis, collaboration and communication among colleagues and external stakeholders, schedule management, resource allocation, time management, tracking the progress of every project and task, scheduling, resource and budget management, CMS, documentation, file storage, and more. Initial Setup of Artavolo

You are convinced that Artavolo can find its place in your daily work routine, right? It is time to learn how to properly implement the software for seamless and immediate use, connect it effectively with other elements and processes in your company, and leverage its full potential.

We would like to remind you that installing and using Artavolo is completely free and requires no prior coding knowledge or IT skills. Here is what you need to do:

  1. Signing up and installation - Registration and installation of the platform are quick and easy. Visit the Artavolo website, where you will find the Sign up button in the top-right corner of the homepage.
  2. What is a workbook and how to create a base - After free registration, log into your account. On the right side of the homepage, you will find a column with your workgroups and a button labeled + Add Workgroup. Creating workgroups is free, regardless of the number you create and share with collaborators. A workgroup is a collection of bases. You can name your new workgroup by double-clicking the generic name My New Workbook. Use the dropdown menu to edit, delete, upgrade with additional features, share with collaborators, rename, add or edit descriptions, and configure plugins (e.g., Twilio, email notifications, ChatGPT, Slack, Mailchimp).

Scrolling down the page, you will see your workgroups listed in chronological order. Under each workgroup, you will find a + Add Base button. A base is equivalent to a dashboard where you can import, create, edit, and delete information, tasks, and project data. When creating a new base, Artavolo gives you three options: Start from Scratch, Import, and Quick Start.

Start from scratch - Creates a blank table with customisable columns.

Import - Quickly imports data from files or other software you use.

Quick Start - Lets you use pre-designed templates, choose different views, and invite collaborators.

  1. Choosing a view - Artavolo offers several view types: Grid View, Kanban View, Cards, Calendar, and the option to create Forms.

Grid view displays data in rows and columns, allowing for infinite customisation, including resizing, duplicating columns, grouping, filtering, adding descriptions, visual elements, and attaching files. Use the Settings panel on the right to modify your table format and save your changes by clicking Save.

Kanban view presents information as cards, each containing detailed information and subtasks. Personalise this view using the Settings panel to adjust colors, display or hide comments, collaborators, task progress, deadlines, and more.

Switch between views via the dropdown menu in the top toolbar. Create a new Form from the right-side panel by clicking the corresponding button.

  1. Adding members and assigning roles - While you can use Artavolo for individual projects, one of its primary goals is to facilitate collaboration. Add collaborators to any workgroup or base, assigning roles such as owner, collaborator, read-only, or guest. Share workgroups via email or link by selecting Share from the dropdown menu next to the workgroup on the homepage. Sharing a base follows a similar process through the base’s settings.   2. Setting customisation - Artavolo offers extensive customisation opportunities to tailor your databases to your workflows, style, and approach. Beyond view selection, you can change colors, fonts, and sizes, highlight specific rows or columns, and personalise cards.

Key Features – how to use them?

  • How to create a project/task? – For every new project or task, you can create a new row in the Grid view or a new card in the Kanban view. Simply click the + button or use the keyboard shortcut Ctrl + Space.
  • How to set deadlines? – When you want to select a column for entering deadlines or a column with numbers (such as dates and times) for other needs, choose the Number option from the Type dropdown menu in the panel that appears on the screen when creating a new column in the Grid view.   • How to use collaboration tools? – In Artavolo, you can leave comments on any task or project by clicking on the conversation bubble icon in the Kanban view. Discussions enable communication between collaborators in the form of a chat. Create a new Discussion by selecting the respective option from the panel on the right. You can also create new Notes, which you will find in the panel on the right.
  • How to track project progress? – You can track the progress of any project or task by selecting the Group by Status option from the toolbar at the top of the screen. In the Grid view, you also need to choose the Group option, followed by Status from the dropdown menu.
  • How to create automations? – Automations are notifications that inform collaborators in your Workgroup or Base about changes and updates. Create an automation by selecting the Automation option from the settings window and then creating a new notification by clicking the Add New button. How to Upgrade Your Plan with Artavolo

While Artavolo is completely free to use, you can choose from several upgrade options. Initially, you start with the Free option. If you want to upgrade, you can choose between:

  • Standard
  • Pro
  • Enterprise
